Change your invoice settings

Set default terms and conditions for new invoices, check card payments and taxes, see payment reminders and turn automatic receipts on or off.

Your invoice settings are in More → Invoices. Set the terms and conditions added to new invoices, check that card payments and taxes are ready, and choose whether clients get a receipt automatically.

Before you start

You need to be the account owner or an admin. You can also reach this screen from More → All settings → Invoices, in the Invoices & payments section.

Default terms and conditions

  1. Tap More → Invoices.
  2. Under Terms & conditions, type your payment terms, warranty or cancellation policy.
  3. Tap Save changes.

This text is added to new invoices. You can still change it on each invoice.

Getting paid

  • Quoti Payments shows whether card payments are Not set up, Finish setup, Being verified, Needs attention or Active. Tap it to connect or check your account.
  • Taxes shows the taxes on your invoices, or No sales tax. Tap it to change them.

Payment reminders

Quoti Ai drafts a reminder for invoices 3 to 60 days past due, and you approve each text before it goes out. The Quoti Ai row shows whether this is on. If it says On · needs a texting number to send reminders, get a Quoti texting number first. Tap the row to open the Quoti Ai settings.

You can also send a reminder yourself: open a sent invoice and tap Send reminder.

Receipts

Under Receipts, tap the switch to turn automatic receipts on or off. When it's on, clients get one receipt per invoice, by text or email, when you record a payment of $1 or more.

Settings on each invoice

Some settings live on the invoice itself, not here:

  • Payment terms: Upon receipt (the default), Net 15, Net 30, Net 45 or Custom. On an existing invoice, tap the Payment terms row under Details to change them and the due date.
  • Invoice number: Quoti uses the next number. Tap it to change it; each invoice needs its own number.
  • Message to client: a short thank-you note or instructions.

Tips

  • Keep your terms short and clear. They show on every new invoice your clients see.
  • Taxes have their own screen. See "Set up your sales taxes".
