Record a cash, cheque or e-transfer payment
Log a cash, cheque or e-transfer payment on an invoice so the amount due updates, then send a receipt or fix a mistake by voiding the payment.
When a client pays you in cash, by cheque or by e-transfer, open the invoice and record the payment. Quoti updates the amount due and marks the invoice Paid or Partially paid.
Record a payment
- Open the invoice. You can find it in Sales → Invoices, on the job (View invoice) or on the client's page.
- Under Payments, tap Record.
- Check the Amount. It's filled in with the amount due. Change it if the client paid only part.
- Pick the Method: Cash, Check, E-transfer, Credit card, Debit card or Other.
- Set the Date received if it wasn't today.
- Add a Note if you want, such as the cheque number or the e-transfer reference.
- Tap Record payment.
You'll see Payment recorded. If the payment covers the full amount, the invoice shows Paid. If not, it shows Partially paid and the amount still due.
If you're at the door with the QR code open, tap Paid another way to get to the same screen.
Ask for a review
Right after you record a payment, Quoti offers to text your client a request for a Google review. Edit the message if you want and tap Send text, or tap Not now. If your Google review link isn't set up yet, tap Add your Google review link.
If you turned on automatic review requests, the client already gets one after paying in full, so you can tap Not now. See "Get more Google reviews".
Send a receipt
- On a paid invoice, tap Send receipt. On a partly paid invoice, tap ⋯ → Send receipt.
- Choose Text or Email, check the message and tap Send text or Send email.
If a receipt already went out, Quoti tells you the date and asks if you want to send it again.
To send receipts without thinking about it, turn on Receipts in More → Invoices. Clients then get one receipt per invoice, by text or email, when you record a payment of $1 or more.
Fix a mistake
- On the invoice, tap the payment in the Payments list.
- Tap Void this payment → Void payment.
The payment stays in the history as voided and the amount due goes back up. Card payments made online through Quoti Payments can't be voided this way.
Tips
- You can't void an invoice while it has a payment on it. If the payment was a mistake, void the payment first.
- The Payments list on the invoice shows each payment with its method and date.
