Send visit reminders and booking confirmations

Quoti can text or email your clients before each visit. Turn on up to two reminders in More → Visits & reminders, and choose how many days before and at what hour they go out.

Turn on reminders

1. Tap More → Visits & reminders.
2. Turn on Reminder 1.
3. Under Days before the visit, tap 1, 2, 3, 5 or 7.
4. Tap Send at and pick the time. Reminders go out on the hour.
5. Under Send by, tap SMS, Email or both.
6. Want a second reminder, for example a week before and the day before? Turn on Reminder 2 and set it the same way.

Changes apply to visits booked or moved from now on. The Visits & reminders tile in More shows how many reminders are on.

Set an arrival window

On the same screen, pick an Arrival window: None, 30 min, 1 hour, 2 hours, 3 hours or 4 hours. With a 2-hour window, a 9:00 AM visit shows as 9:00 – 11:00 AM.

This is the default for new jobs. You can pick a different window on each job when you create it.

Send booking confirmations automatically

Turn on Booking confirmation. Clients then get a confirmation by text or email when you book a job with a visit. Online bookings and imported jobs are skipped.

Send a confirmation yourself

1. Open the job.
2. Tap Send confirmation.
3. Choose Text or Email and check the phone number or email under To.
4. Read the message and edit it if you want.
5. Tap Send text or Send email.

The job then shows Confirmation sent. Until then it shows Confirmation not sent yet.

Change what the messages say

Under Messages on the Visits & reminders screen, tap Visit reminder text (used by reminders 1 and 2) or On my way text. You can also find them in More → Texts & emails, under Visits.

Tips

• When you move a visit, its reminders move with it. When you cancel a visit, its reminders stop.
• Reminders go to the client on the job, so check their phone number and email are on file.
