Follow up on quotes automatically
Quoti reminds clients about a quote 2, 5 and 10 days after you send it, until they answer. Change the days and the message, or turn it off for one quote.
Quoti follows up on every quote you send: by default 2, 5 and 10 days after sending, until the client answers. Each follow-up goes out the same way you sent the quote, by text or email, with the link to the quote.
How it works
- Follow-ups start when you send the quote, or when you tap Mark as sent for a quote you sent another way.
- They stop on their own when the client approves, declines, asks for changes, replies by text, or the quote expires. They also stop when the quote becomes a job.
- The standard message is: "Hi [client_first_name], just checking in on quote #[quote_number] we sent you. Any questions? You can review and approve it online anytime. Thanks! [company_name]"
- If Quoti Ai is on and you sent the quote by text from your Quoti number, Quoti Ai writes the follow-up for that client instead. It shows as a QUOTE FOLLOW-UP card.
Check a quote's follow-ups
Open the quote. The Automatic follow-ups row tells you where it's at: - Next one with the date, and how many were sent so far - All follow-ups sent - Stopped: the client replied or Stopped - Off for this quote or Off for your company · Quote settings
Turn follow-ups off for one quote
Tap the switch on the Automatic follow-ups row. It's on the New quote screen and on the quote itself, so you can change it before or after sending.
Change the days and the message
- Tap More → Quotes.
- Under Automatic follow-ups, make sure Follow up automatically is on.
- Set the 1st follow-up, 2nd follow-up and 3rd follow-up, in days after the quote was sent. Set 0 to skip one.
- Edit the Follow-up message. You can use the tags [client_first_name], [quote_number], [quote_amount] and [company_name]. A link to the quote is added automatically.
- Tap Save settings.
Turning Follow up automatically off stops follow-ups for all quotes, including ones already planned.
Set when quotes expire
An expired quote gets no more follow-ups. 1. In More → Quotes, under Quote expiry, pick Never, 14 days, 30 days or 60 days, or type your own number next to Valid for. 2. Tap Save settings.
To give one client more time, open their quote, tap Change next to Expiry, and pick +7 days, +14 days, +30 days, a date, or No expiry. An expired quote reopens when you change its expiry date.
Tips
- Keep the message short and friendly. Your client can approve straight from the link.
- If a client says "not now" instead of yes or no, see Follow up later when a client says "not now".
